01 — Challenge
The problem
Most stock problems are not counting problems. The count in the warehouse is usually right. What goes wrong is that the number lives in several places: the storefront shows one figure, the ERP another, and the spreadsheet the purchasing team actually trusts shows a third. Orders are taken against stock that has already been promised, and reorders are raised after the shelf is empty.
We have built this kind of system for clients as part of ERP and integration work, each time around the same core. Inventory is that core built once, as a product: stock, orders and warehouses in real time, connected to the ERP a business already runs.
02 — Solution
What we built
The design starts from a single rule: a stock figure is never typed, it is the result of movements. Receiving a purchase order, picking a sales order, transferring between warehouses and adjusting after a count are all movements, and the quantity for an item at a location is what those movements add up to. That gives every number a history, and it means orders update stock as they progress rather than at the end.
Around that sit the modules. Items and catalogue hold products, variants, units of measure and barcodes. Stock and locations hold quantities per warehouse, location and bin, with transfers and stock counts. Purchasing covers suppliers, purchase orders and goods receipt; sales orders cover capture, pick and pack, and backorders. Reorder alerts use minimum and maximum levels to warn before an item runs out and to suggest what to order.
The product is built to sit beside an ERP, not replace it. A connector keeps items, stock and orders in step with the ERP and with the storefront in both directions, with webhooks and an API for anything else. Reports cover valuation, movement history and turnover.
